The position is located in the Front Office of the Office of the Chief of Protocol (S/CPR). The Front Office is responsible for overall leadership of the S/CPR bureau, the coordination of all scheduling and meetings of Chief of Protocol and the Deputy Chief, the welcoming of visitors, and the handling of all memos, correspondence, and other written products for the Chief and Deputy Chief.
The incumbent provides support to the Chief of Protocol, the Deputy Chief of Protocol, and key staff on all matters related to the coordination, integration, and synchronization of staff actions. S/he ensures provision of all logistical requirements necessary for meetings, conferences, and related activities as directed by the Chief of Protocol, the Deputy Chief or the Chief of Staff.
The incumbent develops comprehensive plans and strategies for the internal and external integration of day-to-day and long-range projects, actions and activities requiring the involvement or direction of the Chief of Protocol, Deputy Chief, and/or key staff. S/he analyzes and evaluates issues that are diverse in nature, requiring input from multiple levels within S/CPR. These actions typically require sensitive coordination, crossing bureau and agency lines.
The incumbent manages numerous projects and actions, determines status, prioritizes events, and provides comprehensive status updates to the Deputy Chief of Protocol. S/he manages routine and short-fuse correspondence and reporting on behalf of the Front Office, and alerts appropriate S/CPR staff as needed. S/he screens complex correspondence and reports prepared for the signature of the Chief of Protocol and/or the Deputy Chief.
The incumbent carries our special and sensitive assignments on behalf of superiors requiring an understanding of the policies, procedures, and systems of the bureau and Department. Tasks may be high-profile in nature, requiring the incumbent to ensure that materials adhere to the highest quality and requisite timeliness.
The incumbent receives visitors on behalf of the Office of the Chief of Protocol
S/he has first-hand knowledge of the responsibilities of each division which allows him/her to accurately and expeditiously address visitor requests. The Office of the Chief of Protocol receives many high level foreign visitors who may be attending official events and functions handled by the office as well as those who have official business concerns with the Chief of Protocol, Deputy Chief, and Chief of Staff. The incumbent clears visitors for entry into the Department who have scheduled business appointments and/or urgent concerns with the Protocol Office.
As the needs dictate, the incumbent may be required to assist in routine tasks such as official gift wrapping; placing calls to embassy officials to extend invites and or provide pertinent information pertaining to Protocol events; photocopying, collating and assembling of documents.
The incumbent must possess demonstrated knowledge and skills in the application of the automated data systems techniques and processing through Microsoft Office Word, Microsoft Office Outlook and Excel.
The incumbent consults with Deputy Chief of Protocol on matters of concern in the performance of duties or areas that are not clearly defined.
